About Cultural Arts:
The Cultural Arts Division operates out of the Walters Cultural Arts Center which includes a theater space, two galleries, four art classrooms and amenities for special events and community functions. We present concerts, exhibitions, lectures, art classes, workshops, and community engagement activities at the center and within the community. The Walters has served as an anchor for Hillsboro’s blossoming arts and culture community since 2004.

 

About this opportunity:
The City of Hillsboro is currently seeking a Management Specialist to provide support for key operations in our Parks & Recreation Cultural Arts Division. This includes friendly and efficient front desk operations; coordinating and overseeing event rentals at the Walters Cultural Arts Center; providing administrative support for our Hillsboro Arts and Culture Council and its various committees, including an active fundraising committee, the Hillsboro Arts and Culture Endowment; and managing a community grants program that supports artists and performers, community art projects, and local arts and culture organizations.
 
Our ideal candidate has customer-focused experience, knowledge and practice in program coordination, excellent skills in providing administrative support to an active board or committee, experience in grants administration, has provided guidance to support staff, and demonstrates a commitment to diversity, equity, and inclusion. Interest in arts and culture is a plus!

The principal function of an employee in this class is to provide specialized services in support of such functions as human resources, labor relations, emergency management  program coordination, records management, elections, and programs and projects support and coordination. Incumbents, as assigned, may be responsible for performing records research and management; maintaining databases; providing technical assistance and training; and processing invoices and receipts for payment.

Examples of Essential Work

What you’ll be doing: 

  • Oversight of our front desk operations and part-time support staff assigned to this area.
  • Supply and equipment ordering, purchase tracking, and related reports,
  • Facilities oversight including use of spaces, calendar of building activities, tracking and coordination of staff for room set-ups and transitions, work order management, communications with facilities team for repairs, building upgrades, and cleaning schedules.
  • Managing building rentals from inquiry through completion of event including, answering inquiries and questions from interested parties, coordinating venue tours, contracts, payment and document tracking, communications that lead up to the event, and training and scheduling staff for event support,
  • Managing grant programs including communications, applications, grant review panels, award notifications and declines, and grantee reporting,
  • Writing and gathering support materials to publicize the Community Arts Grants Program,
  • Support the Hillsboro Arts and Culture Council and its committees as the acting point person, developing and posting meeting agendas and minutes, preparing presentation materials, overseeing administrative and records management processes according to regulations and records retention procedures, and various communications,
  • Represent the Cultural Arts program in community meetings and with community members through professional and courteous interactions with our audience, community stakeholders, donors, and volunteers.

 

Acceptable Experience and Training

Associate’s degree and 2 years’ experience in general administration with a preference for art or non-profit administration support services; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Bilingual preferred, but not required.

Licensing/Certifications

  • Possession of a valid State Driver’s License and safe driving record.
  • Must be able to pass an extensive background check.
